Workflow States & Scoring Methodology

Workflow States

New1

Fresh intake that needs triage, ownership, and first-round scoring.

In Deliberation3

Actively being debated, reviewed, or refined before action is approved.

Approved for Action4

Cleared to move into project planning, backlog intake, or direct execution.

In Execution1

Work is underway and should stay tied to operational delivery artifacts.

Blocked0

Known dependencies or approvals are preventing execution.

Completed3

Closed with a documented outcome, ideally linked to an ADR or runbook change.

Scoring Inputs

  • Urgency and customer impact carry the most weight because leadership usually feels date pressure and service impact first.
  • Importance voting and ease voting help compare must-have items against realistic implementation effort.
  • Security risk can lift an item even when it is hard, while dependency complexity suppresses work that is not execution-ready.
  • Approved approver stamps add confidence; concern stamps reduce the score until open questions are resolved.
